Terms and Conditions

Information about us:

  1. CCE Cars is a trading name of County Cars Executive Limited and is registered in England No: 11004897 Registered Office: 

    Century House, Wargrave Road, Henley-on-Thames, Oxfordshire RG9 2LT and registered for VAT no: 423 2532 32

  2. CCE Cars is a Private Hire Operator with South Oxfordshire District Council (SODC), licence number TXPHOS/03361/18.
  3. Where drivers are licensed under SODC private hire vehicle licence, they are bound by those conditions of said licence.
  4. Supporting operators and drivers are licensed by their individual licensing authority and are bound by said authority's licensing conditions.
Communication method:

Any communication in writing by CCE Cars, the client expressly accepts that the sending of messages written by e-mail directly to the email address provided in the booking has the same value of a total communication sent by means of registered mail.

Booking terms:

  1. All journeys are calculated a) by the fastest mapped distance using google maps b) non-peak times
  2. All journeys are undertaken by the most appropriate route, using mapping devices e.g. Waze, unless otherwise instructed by the client, any additional mileage/time will be charged for peak time driving conditions & any delays which are out of our control such as hold ups on motorways e.g. accidents
  3. Clients will be charged for the journey booked, any subsequent route or passengers changes on the day, pick ups and drop offs may incur extra charges. These are undertaken at the discretion of the driver due to that day's schedule.
  4. Vehicles will carry up to the stated amount of passengers for which it has been designated and will not carry more passengers that the vehicle is legally permitted to do so.
  5. Every effort will be made by CCE Cars to ensure that our vehicle(s) or supporting drivers vehicle(s) arrive on time.
  6. Whilst we do our utmost to ensure punctuality, you will understand that we cannot accept responsibility for delays caused by circumstances out of our control.
  7. The driver will drive at safe and sensible speeds in accordance with road conditions, traffic and the legal speed limits.
  8. CCE Cars drivers and supporting drivers have the right to refuse to carry any passenger(s) who are thought to be under the influence of alcohol or drugs and whose behaviour poses a threat either to the driver, the vehicle or any other passenger(s).
  9. All vehicles are strictly non-smoking.
  10. No food hot or cold is permitted to be consumed in the vehicle(s), should the passenger(s) request to do so it is at the discretion of the driver to permit said consumption.
  11. We reserve the right to provide alternative vehicle(s) to carry out the hire in case of vehicle breakdown/repair or other unforeseen problems arising such as (but not limited to) delayed flight returns or severe traffic delays.
  12. All CCE Cars vehicles and supporting operators/driver's vehicles are fully insured for passenger and third party claims. However, all passengers properties are carried entirely at their own risk and CCE Cars shall not be held responsible/liable for any such loss/damage to such property.
  13. CCE Cars will keep a lost property book at their office and will endeavour to return any lost goods/property found in their or supporting drivers vehicle(s) to the passenger(s).
  14. Car seats for children travelling in the UK: The driver MUST be satisfied these conditions are met, if not, it is at their discretion whether to undertake the journey.

Payment terms & Pricing:

  1. All prices are calculated by the fastest mapped distance using google maps and off peak times.
  2. All prices are calculated from Base to Base. Regardless of your pick up point all journeys start from and finish at Henley-on-Thames.
  3. All monies are due on completion of the journey, unless otherwise agreed by CCE Cars.
  4. All monies are due upon confirmation of web booking, unless otherwise agreed by CCE Cars
  5. Payment may be made by cash, bank transfer, debit or credit card, cheque. Payment details will be on the invoice issued upon completion of the journey.
  6. A minimum fare of £36 saloon & £48 estate car and £72 for an MPV is applicable for any single journey
  7. SPECIAL DAYS: Double time is charged for the following days: CHRISTMAS DAY, BOXING DAY, NEW YEARS DAY
  8. Wait/return journeys are in essence 2 journeys combined
  9. The following additional charges are added where applicable:
    • Tolls, London Congestion & ULEZ zones, car parks etc
    • Waiting time £42 per hour / £7 per 10 minute period
    • Peak time driving @ £42/hour.......70p per minute
    • Driving client's own vehicle is charged @ £30 per hour
    • Special Assistance £12
    • Pick up/drop off zones
    • Subsistence
    • Meet & Greet £21 (30 minutes of the drivers time)
    • Post midnight - 0559, a £42 charge is applied for any journey between those times
    • Pets (at the discretion of CCE Cars) £12 per animal
    • Childs booster seat (suitable for 4-12yrs) - £6
    • Childs car seat (suitable for up to 4 yrs) - £9
    • Multi pick up / drop off £12 is added to the fare per additional address
    • Advance reservation fee of £42 for a specific exec saloon/estate vehicle type
    • Advance reservation fee of £72 for a specific exec MPV vehicle type
  10. The final price may be subject to recalculation on the basis of additional charges, waiting time, mileage, peak time driving, subsistence and/or other miscellaneous costs incurred.
  11. Event Management Fees, when applicable, will be charged @ 20%
  12. VAT where applicable is charged at 20%
  13. Any queries must be reported in writing immediately either to help@ccecars.uk no later than 48 hours after the end of the hire or the address on the invoice rendered.
Cancellation terms & Penalties:
  1. All notifications for cancellation must be made in writing by email to help@ccecars.uk, if that is not possible then please notify the office on +441491818109. The following charges apply within the time outlined below based on the fare quoted, prior to the hire going live:
    • 3 CALENDAR DAYS.    - 10%
    • 2 CALENDAR DAYS     - 15%
    • 1.5 CALENDAR DAYS  - 25% 
    • 12 hours                   - 50%
    • 6 hours                     - 100%
    • no show                    - 100%
  2. If your flight/journey is delayed by more than 60 minutes than the scheduled arrival/pick up time, the customer/passenger must inform the office by calling +441491818109 in order to be able to ensure the presence of the driver, we endeavour to monitor the flight at the same time, our drivers are instructed normally to wait no more than 60 minutes from a flight's landing time or scheduled pick up time should they not be able to make contact with the passenger (for example: the passenger missing their flight). The driver will then leave the meeting/pick up point and the service will be charged in full.
  3. If there is any damage either internally or externally to the vehicle by the passenger(s), either wilfully or accidentally, the client will be charged a minimum of £420. If the vehicle is unable to operate due to the damage suffered, the client will be charged £420 for each day that the vehicle is rendered unavailable, in addition to the full price of the repair.
  4. CCE Cars will not be obligated to respect the hire contract when circumstances amounting to 'Force Majeur' occur where such circumstances last and affect said hire. 'Force Majeur' shall refer to any unusual and unforeseeable events beyond CCE Cars control. Such events may include but are not limited to war, threat of war, civil strife, natural or nuclear disaster, epidemics, fire, terrorist activity, governmental actions, acts of God, strikes, bad weather and all similar events.
